Local Stock Counts & Price Overrides
See how much each location has, set venue prices, and stock a room quickly from a category or spreadsheet import.
The catalog defines what you sell; Stock Counts define how much each location has and what it charges. This per-location layer lets one product carry different quantities and prices across venues without duplicating catalog records.
Stock sheets are reached from Catalog → Locations → select a venue. They
respect stock-counts:view and stock-counts:upsert with location scoping.
Formal count sessions and snapshots live under Inventory
Operations.
Navigating Local Stock Sheets
A location's stock sheet shows every item provisioned to that venue along with its current quantity and effective price. Managers can:
- Audit current on-hand quantities at a glance
- Filter the view by item category or search by name/SKU
- Adjust a quantity after a manual count or delivery
- Set a local price override that supersedes the catalog base price for this venue only
A blank price override means "use the catalog base price." Only fill it in when this location genuinely charges something different, that keeps future catalog-wide price changes flowing through automatically.
Get a location stocked quickly
Adding items one by one is painful when you open a new store or restock a room. You have two shortcuts:
- Import from a spreadsheet on Items, include a location name and quantity on each row to set starting counts while you load the catalog.
- Add Category to Location on the stock sheet, pull an entire catalog category onto that venue in one step.
Add a whole category to a location
Open the location's stock sheet
Navigate to the venue you want to stock.
Add a category
Choose Add Category to Location and pick a category - for example, all 50 soft drinks at once instead of adding each individually.
Adjust the exceptions
Every item in the category is now on the sheet. Set quantities and tweak only the prices that differ from the base.
Live inventory updates
Whenever a stock count or price is modified in the back office, GreenSails sends the change to every active POS register at that venue. Checkout lines update in real time, a price correction or a depleted item is reflected on the floor the moment you save, with no manual refresh.
Because changes reach registers instantly, treat the stock sheet as live production data during business hours. A mistaken price edit reaches registers within seconds.
