Stock Taking Policy

Configure count schedules, variance tolerances, alert recipients, and per-location overrides.

Stock taking policy defines how often each location should count inventory, how variance is judged, and who gets notified when counts slip or drift. Org defaults apply everywhere; individual locations can override specific fields without duplicating the whole policy.

Stock taking lives under Inventory → Stock taking. Viewing requires stock-taking:view; editing requires stock-taking:configure.

Organization defaults

The org policy controls:

Default starting values include weekly counts (Monday), 5% / 2-unit variance tolerance, approval required for variance, and snapshot-on-schedule enabled.

Per-location overrides

Open a location's override panel to change any field for that venue only, useful when a high-volume store counts daily while satellite kiosks stay on a monthly cadence. Unset override fields inherit the org default.

Location overrides merge field-by-field. Leave a field blank to keep using the organization value for that setting.

Automatic scheduling

GreenSails runs scheduled checks in the background:

  • Count reminders: Alerts when a location is overdue for its next count
  • Snapshot capture: Creates awaiting-count snapshots when automatic capture is enabled
  • Forecast rolls: Feeds the Forecasts page and low-stock alerts

All scheduled times respect each location's timezone.
