Workforce Management Overview
Schedule your team, review hours, and approve time off or shift trades from the dashboard. Available on Captain plans and above.
Workforce is where you run people operations for your venues: build the schedule, keep a clean roster, review who clocked in, and approve time off or shift trades before coverage changes.
Floor staff use the separate Staff portal (staff.*) on their phones. Managers stay in the dashboard.
The Staff portal (staff.*) is for your team. Customer invoice and contract links use a different Customer portal (portal.*), see Billing.
Workforce requires a Captain plan or higher. Dock and Sailor accounts do not include scheduling, time cards, or the staff portal. See pricing for plan details.
Dashboard users need workforce:view to open Workforce. Individual pages may
need extra permissions such as workforce:manage-schedule or
workforce:approve-requests. See Access

Schedule
Month, week, day, and staff views with shifts, time off, time cards, and pending trades on one calendar.

How managers and staff connect
Add employees in the dashboard
Create roster entries, assign the locations where each person can work, and link a dashboard member when someone also needs back-office access. See Employees.
Enable the staff portal
Turn on portal access for floor staff who should clock in from their phone. Share the staff URL shown on Workforce → Employees.
Build and publish the schedule
Add shifts on the calendar and publish them so staff see the week in the portal. Published shifts also trigger email reminders when portal access and email are set. See Schedule.
Review clock-ins and requests
Compare planned hours to actual time cards (including review flags like early or late), then approve time off or shift trades before coverage changes. See Time cards and Requests.
Built-in guardrails
Workforce includes a few controls that keep hours honest without slowing the floor:

| Assigned locations | Staff can only clock in at locations on their roster (managers with time-card permission can override) |
| Geofencing | Optional per location: staff must be on-site to clock in when GPS is required |
| Review flags | Early, late, before/after-hours, and off-schedule punches are marked for review, not blocked |
| Email reminders | Staff with portal access get a heads-up before a shift, a nudge if they miss clock-in, and a reminder if they forget to clock out |
| Auto-close | Forgotten open cards close automatically after a configurable delay past shift end, flagged for review |
| Calendar sync | Staff can subscribe their phone calendar to published shifts from Account in the portal |
| POS kiosk punch | Optional kiosk mode on a POS terminal lets staff clock in/out with a PIN when they don't have their phone |
