Count Sessions

Open, count, review, and close physical inventory sessions, one active session per location.

A count session is the operational unit for a physical inventory count. It links a location to a snapshot, tracks progress through open → counting → review → closed, and drives variance alerts and reports.

Count sessions live under Inventory → Count sessions. Viewing requires count-sessions:view; starting requires count-sessions:create; closing requires count-sessions:close.

One session per location

Only one open session (status open, counting, or review) may exist per location at a time. Starting a second session returns a conflict, finish or cancel the current session first.

This rule applies across dashboard and POS. If the floor is mid-count, back office cannot open a parallel session for the same venue.

Session workflow

Start the session

From the dashboard or POS, start a session against an awaiting count snapshot (or let policy create one on schedule).

Count on the floor

Staff enter physical quantities on the POS count screen. Lines save locally and sync to cloud when online.

Review variance

When counting finishes, the session moves to review. Lines outside variance tolerance may require manager approval before the ledger updates.

Close the session

A manager closes the session. Approved variances apply to location stock counts; alerts fire for significant drift.

POS count lines queue locally when offline and push on reconnect, using the same pattern as order sync.

AI session reports

After significant count sessions, GreenSails can generate an inventory session report insight (type inventory_session_report) available in analytics. These summarize variance patterns and compliance for the session window.
