Employees

Create employee records, assign locations, set hourly rates, and enable staff portal access from the dashboard.

The Employees page under Workforce is your roster. Each record is one person on the schedule, whether or not they also have a dashboard login.

Create an employee

  1. Open Workforce → Employees.
  2. Click Add employee.
  3. Enter a display name and optional email.
  4. Assign one or more locations where this person can work.
  5. Optionally set an hourly rate for reference when reviewing time cards.
  6. Save.

You can link a dashboard member to an employee record when the same person needs both back-office access and a spot on the schedule. Linking is optional for floor-only staff.

Enable staff portal access

Portal access lets someone sign in at staff.* to clock in, view their schedule, submit requests, and sync shifts to their phone calendar.

  1. Open the employee row and choose Enable portal (or edit the record).
  2. Confirm the linked member account or invite flow your organization uses.
  3. Copy the staff portal URL shown on the page and share it with the employee.

On the roster table, the Portal column shows Active when staff portal access is enabled, or Not enabled when it is not. That badge is about portal access, not the employee’s overall Active / Inactive status on the roster.

Staff must sign in with the identity tied to their member account. If they see a staff access error after login, confirm portal access is enabled and the employee status is Active.

Reminder emails and calendar sync only work for active employees with portal access and an email on file.

Staff self-service clock-in is limited to assigned locations. Managers with workforce:manage-timecards can still clock someone in at another site when needed.

Inactive employees stay on the roster for history. Marking someone Inactive turns off portal clock-in, stops reminder emails, and clears any calendar feed link so old subscribe URLs stop working.
